Step 2: Launch the Students Currently Checked-In Menu

At the SARS Trak Admin main menu, click the Manual Entry menu and select the option 'Students currently checked-in'.

The Students currently checked-in window will now launch

There are three areas of the menu:

1. The student list: Contains student name, check-in time, the button they selected at the SARS Trak kiosk, the courses and/or reasons they selected (comma delimited) and the tutor currently assigned to the student.
2. The application: The application can be thought of as the lab or center. Users will only have access to applications that have been defined in their user account.
3. User buttons:
   • Assign/Re-Assign: Allows for the assignment and reassignment of tutors to students. Click here to see how to assign and re-assign tutors.
   • Refresh: Manually refreshes the list of students currently checked-in.
   • Checkout: Ends the student's visit. Can be used if a student forgets to sign out or requires assistance signing-out.
   • Delete: Delete's the student's current visit from the system. Any recorded time or reasons from that visit will be permanently expunged.

Active Student Session Management

Using the Checkout Button

The Checkout button has the same behavior as a student checking themselves out through the SARS kiosk, their session time is ended and recorded to the SARS database. To use: select the desired student from the list and click Checkout, a confirmation prompt will appear for the action.

Using the Delete Button

The Delete button removes the student's current visit from the SARS database. To use: select the desired student from the list and click Delete, a confirmation prompt will appear for the action.

Using the Assign/Re-Assign button

For labs using SARS Trak to manage tutors, the Assign/Re-Assign button can be used to assign a tutor to one or more students for the duration of their visit. To use: select the desired student from the list and click Assign/Re-Assign, a list of tutors assigned to that lab will appear. Select the tutor and click Ok.

The tutor's username will appear alongside the student's visit in the Tutor column, indicating a tutor has been assigned to the visit.
