Cabrillo College licensed Generative Artificial Intelligence (GenAI) capabilities

Logging into these with your cabrillo.edu credentials will apply enterprise data protection assurances that your prompts and information will not be shared outside of the cabrillo.edu environment and will not be used to train AI models.  Please see this guideline for GenAI Use by Cabrillo Employees.


Zoom AI Companion is also available for use by all Cabrillo employees, courtesy of the California Community Colleges TechConnect, but should be used with special considerations for data privacy and security:

  • Zoom AI Companion is, with few specific exceptions, the only AI tool that should be used to record, transcribe, summarize or otherwise process Cabrillo’s Zoom meetings.  These features can be enabled individually in your Zoom account by visiting https://cabrillo.okta.com/ and clicking the Zoom tile, then Settings.
  • Do not use Zoom AI Companion to process meetings that include sensitive data such as Personally Identifiable Information (PII).  In contrast to the District’s other licensed GenAI tools, District data processed by Zoom may leave the confines of our cloud tenant to be processed by other AI service providers (per Zoom’s “federated approach to AI”) with whom we do not have data privacy license agreements.

  • Once a meeting has been transcribed, that transcription becomes an electronic record which may be subject to disclosure during the course of a public records request.  As of October 2025, Transcripts and summaries, along with associated recordings, will be automatically deleted after one year in accordance with recent TechConnect policy changes.

  • Do not process Protected Health Information (PHI) using any cloud service tools, to include Zoom, unless specifically authorized to do so by the IT Department.  Processing PHI data with a third-party provider requires a separate Business Associate Agreement (BAA) to specify each party’s responsibilities to safeguard that data, per the Health Insurance Portability and Accountability Act (HIPAA).
