New Account Activation and Setup

KB Article going over the process for new users to setup their Cabrillo staff account.

To activate and set up your new account, follow the steps below.

In your personal email address used during the application / hiring process, you will receive an email with a subject line saying “Welcome to Okta!”. Below is an example of the email you will receive.

Please note that the “Activate Okta Account” link in the email only lasts a short while, you may see an “Activation link has expired” notice when clicking the link in your initial email, but don’t worry! This is normal, and you can click to request a new activation email with a fresh link to complete the activation. See screenshot below:

After clicking the “Request activation email”, you’ll be sent a new “Welcome to Okta!” email with a fresh activation link.

Once you click the “Activate Okta Account” link, you will be brought to a new prompt page to set up your Password, Security Question, and Multifactor protection.

You will be asked to create a new password. Never share your password with anyone.
The requirements for your new password are:

  • At least 12 characters
  • A lowercase letter
  • An uppercase letter
  • A number
  • A symbol
  • Does not contain your username, first, or last name

The requirements are also shown on the prompt page:

Next you will be prompted to setup your Multifactor Security Method:

After your Multifactor is completed, you will be prompted to Choose, or Create a Security Question.

Once your Security Question has been chosen or created, you will have the option to set up more Security methods, also known as Authenticators.
Available authenticators are:

  • Phone - enter a code sent to you from a text message or phone call (using either your Cabrillo desk phone or your mobile phone)
  • Google Authenticator - enter a code generated from an application on your phone
  • Okta Verify - approve sign-ins from a notification sent to your phone
  • YubiKey - a small USB device obtained from IT, which you plug in to your computer to authenticate.

When completed, select continue and you will be brought to your new Okta Apps page for your Cabrillo account.
